Job Summary
We are seeking a dynamic and energetic Live Virtual Assistant / Call Answering Service professional to join our team! Responsibilities

  • Answer incoming calls promptly using multi-line phone systems, providing courteous and professional customer interactions.
  • Manage appointment scheduling and calendar management for clients or team members using Google Workspace or Microsoft Office tools.
  • Handle data entry tasks with accuracy, including filing, updating records, and maintaining organized digital files.
  • Provide administrative support such as proofreading documents, managing emails, and assisting with office management duties.
  • Support customer service efforts by addressing inquiries, resolving issues efficiently, and escalating complex concerns when necessary.
  • Maintain clear communication with clients via phone, chat, or email to ensure their needs are met promptly and professionally.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial recordkeeping.

Requirements

  • Proven experience in office management, clerical work, or customer support roles; previous experience as a receptionist or personal assistant is a plus.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
  • Excellent phone etiquette and organizational skills to handle multiple lines and prioritize tasks effectively.
  • Bilingual abilities are highly desirable to serve diverse client bases effectively.
  • Demonstrated ability to manage time efficiently in a remote setting while maintaining attention to detail.
  • Familiarity with office equipment such as multi-line phone systems and basic office management tools.
  • Prior experience in medical or dental receptionist roles is advantageous but not required; a background in data entry or bookkeeping is beneficial.
